How to Cold Email a Hiring Manager in South Africa

You saw a shop, lodge or NGO that looks busy but has no advert. You want to email the manager directly, but you worry you will sound rude.

What is a cold email and why does it work here?

A cold email is an email to a hiring manager when there is no advert. You introduce yourself and ask about current or future roles.

It works here because many small businesses do not advertise. A lodge in Hogsback, a shop in Butterworth, a cafe in Makhanda or a supplier in Cathcart hires via word of mouth or keeps CVs on file. A short email puts you in that file early.

When should you send one and when should you use the portal?

Use it for small to medium businesses: independent retail, restaurants, lodges, clinics, local firms and NGOs. You can email a branch manager, like Boxer in Komani or a store in Mthatha.

Do not cold email large corporates with an ATS (Applicant Tracking System) portal. Banks and national head offices must follow a formal process under the LRA (Labour Relations Act). If the site says “apply via careers portal”, use it. Your CV may be deleted for POPIA (Protection of Personal Information Act) reasons. Ask where to apply, then use the portal.

How do you find the hiring manager’s name?

Do not use “Dear Sir/Madam”. Find the name.

Search LinkedIn for company plus town plus “manager”. Look for Store Manager or Lodge Manager.

For local shops in Cathcart, Komani or Hogsback, ask in person. Ask staff who handles hiring. Check the website About Us. An NGO in East London often lists its director. A lodge near Hogsback lists the owner-manager.

How do you find their email without guessing?

Never guess Gmail like managerkomani123@gmail.com.

Three real ways: website, LinkedIn, or phone. Most sites list info@ or firstname@company.co.za. On LinkedIn, contact info may show work email or you can message to ask. Or call reception: “Can I have the manager email for future roles?” Reception in Gqeberha, East London and Mthatha often shares branch email. Do not buy lists.

What should you put in the subject line?

Make it clear: Role + Town + Proof. Managers decide in two seconds.

Good:

  • Retail Assistant – Komani – 2 years Shoprite till
  • Lodge Housekeeper – Hogsback – available now
  • Admin – East London – Excel and Pastel
  • Driver – Butterworth – Code 10 PDP

Bad: “CV”, “Please help”, “JOB APPLICATION!!!!!”

Add town. A manager in Makhanda needs to know you are local.

How do you write the email so it gets read?

Keep it under 120 words. Must read on a phone.

Greeting with name: “Good morning Ms Nkosi,”

Who you are and town: “I am Anele from Komani, looking for retail assistant work.”

Experience with proof: “2 years at Shoprite Cathcart, tills and stock. No shortages. R15k cash-ups daily.”

Why them: “I like your store because your team helps in isiXhosa.”

Ask and attach: “Please keep my 1-page CV on file. Happy to chat for 10 minutes.”

Close: “Thank you, Anele 071 123 4567”

Tone: respectful, short, no slang like “howzit”. No life story, no begging. Spell name right. See ATS CV guide.

What should you attach to a cold email?

One file only: 1-page CV as PDF, under 2MB. Name it Name_Surname_CV_Retail_Komani.pdf.

Make it ATS-friendly: black text, simple headings, no photos. The cover letter guide shows that layout.

Do not attach certificates, ID or reference letters unless asked. A 10MB scan goes to spam, especially on slow data near Hogsback or Butterworth.

Should you follow up if they do not reply?

Yes, once only, after 5-7 working days.

Managers in Hogsback or Gqeberha check hiring emails weekly. Forward first email and add: “Good morning Ms Nkosi, following up on my email below about future retail roles in Komani. Please let me know if I should apply elsewhere. Thank you, Anele”.

No daily calls or same-day messages on Facebook, LinkedIn and email. If no reply after one follow-up, move to next business in East London or Mthatha.

What mistakes make managers delete your email?

Mass email with 30 in To or CC. Send individually.

Wrong name spelling. Peterson is not Petersen.

Big attachment. 10MB will not download on shop Wi-Fi.

Demanding a job or pay. Do not write “You must hire me”. Pay can start at National Minimum Wage, R30.23 per hour from 1 March 2026.

ALL CAPS, emojis, slang, sending at midnight. Send 8am-3pm weekdays.

Lying. Shops in one town call each other. Check common CV mistakes.

Frequently asked questions

Is it rude to cold email a manager in South Africa?

No, if short, respectful and relevant. It is rude if you write long story, demand job, or email daily. If site says “no emails, use portal”, follow it.

Can I cold email if I have no experience?

Yes. Mention matric, languages, computer skills, volunteering, weekend availability and that you live nearby. Example: “Matric Butterworth 2024, English, isiXhosa, Sesotho, reliable, weekends.” Works for many shops.

Should I call after I send the cold email?

Only if they asked you to, or reception told you to. Do not call after 24 hours asking if they saw it. Wait 5-7 days, keep call under one minute.
